How to choose a clinic management system: a checklist

By Shenzee Tech · Published 14 October 2026 · 1 min read

A clinic management system handles appointments, patient records and billing so the front desk and the doctors work from the same information. Patient data is sensitive, so privacy and access control matter as much as features.

Core features

  • Appointment booking by doctor and time, with reminders to reduce no-shows.
  • Patient registration and a record of past visits.
  • Visit notes and prescriptions in a format your doctors are comfortable with.
  • Billing for consultations, procedures and medicines, with receipts.
  • Daily collections and doctor-wise income reports.
  • Basic stock for medicines and supplies, if you dispense on site.

Privacy and access

  • Separate logins and roles: reception should not see clinical notes unless you decide they should.
  • A record of who opened or changed a patient record.
  • Backups, and clear answers about where data is stored.
  • A way to export a patient’s records on request.

Sri Lanka has a personal data protection law, and professional bodies set their own rules for medical records. Confirm your obligations with the relevant authorities or an adviser, and ask any supplier how their system supports them.

Questions to ask every supplier

  1. Can it follow the way our doctors really work, including shared rooms and visiting consultants?
  2. What happens during a power cut or an internet outage?
  3. Who can see patient records, and how is that controlled?
  4. How are we trained, and who supports us on a busy clinic day?
  5. What does it cost in total, and can we take our data with us?
