How to choose a school management system: a checklist

By Shenzee Tech · Published 14 October 2026 · 1 min read

A school management system keeps student records, attendance, results and fees in one place, so staff stop re-typing the same information into different registers. Here is what to check.

Map your current paperwork first

List every register, file and spreadsheet the office uses today. The right system replaces most of them. Note which are legally or administratively required, because the software must produce those records in the form you need.

Core modules

  • Student records: personal details, guardians, class and admission history.
  • Admissions and class allocation.
  • Attendance: quick daily marking by teachers, with reports by student and class.
  • Timetables and teacher allocation.
  • Exams and results: marks entry, grades, report cards and term summaries.
  • Fees: fee structures, invoices, payments, receipts and a list of who owes what.
  • Staff records and, if needed, payroll.

Communication and access

  • Notices and messages to parents by SMS, email or WhatsApp.
  • A parent or student view of results and fees, if you want one.
  • Separate logins for principal, office, teachers and accountants, each seeing only what they need.

Protect student data

Student records are personal data about children. Ask where the data is stored, who can see it, how backups are made and how a leaver’s data is removed. Make sure you can export everything if you change systems.

Questions to ask every supplier

  1. Can it match our grading scheme and report card layout?
  2. Can you move our existing student data in, and who does that work?
  3. How is staff training handled, and what happens at the start of a new term?
  4. What does it cost per year, including support and changes?
  5. Who do we call when something fails during exams or fee collection?

Schools differ a lot. A system built to order can follow your exact grading, fee and report rules. Start with a written scope so both sides agree what will be built.
