How to choose property management software for rentals
By Shenzee Tech · Published 14 October 2026 · 1 min read
Property management software tracks who lives where, what they owe and what needs fixing. It replaces the notebook, the spreadsheet and the WhatsApp threads that most landlords start with.
Core features
- Properties and units, with their status: occupied, vacant or under maintenance.
- Tenant records and lease dates, with reminders before a lease ends.
- Rent invoices and payments, including partial payments and arrears.
- Deposits recorded and returned properly.
- Maintenance requests with who is handling them and what it cost.
- Documents such as agreements and ID copies, stored safely.
For owners and managers
- Income and expenses by property.
- Owner statements, if you manage property for other people.
- Occupancy and overdue rent at a glance.
- User roles, so a caretaker cannot see everything.
Questions to ask
- Can it handle the way we charge: monthly rent, utilities, service charges?
- Can tenants receive invoices and reminders by WhatsApp or email?
- Can I export my records if I change systems?
- Who supports it, and how quickly?
